Arrivals and Departures

Choose Arrivals and Departures from the Calendars menu. This calendar allows you to see upcoming reservations showing you the reservation name, reservation number, and number of guests.

The colors are defined as follows:

  • Solid yellow – activities have been booked to the reservation 
  • Solid blue – rooms have been booked to the reservation 
  • Solid green – both activities and rooms have been booked to the reservation 
  • Solid gray – neither activities nor rooms have been booked to the reservation 
  • A “hatch” pattern in the rectangle indicates that a deposit has been received

The calendar is sorted by the reservation arrival date. Column 1 contains the guest name and the reservation number. Column 2 contains the number of guests booked to the reservation.

If you need to make any changes to this calendar, double-click on any colored time bar and you will move to the specific reservation.

Activities Scheduled

Choose Activities Scheduled from the Calendars menu. This calendar will show you records based on the activities that you have assigned to individual reservations. The calendar will open showing you all activities for “today” but you can change the date at any time. Use the NEXT and BACK command buttons to navigate through a period of time. Press PRINT to print a report for the day’s activities. Double-click on any reservation name to navigate directly to a reservation.

USER TIP: Only activities that are “checked” to show on Activity Reports will appear here. Go to Maintenance/Activity Planner/Activities to toggle the check box.

Activity Location Calendar

Choose Activity Location Calendar from the Calendars menu. This calendar will show you records based on the activities that you have assigned to a location. A portion of the calendar is illustrated below:

The three colors are defined as follows: a yellow square indicates the location is booked in the morning. A gray square indicates the location is booked in the afternoon and a green square indicates the location is booked in the morning and afternoon. Using your mouse, you can click on a square and you will see the name of the guest and the reservation number.

Employee Calendar

Choose Employee Calendar from the Calendars menu. This calendar is relevant only if you assign employees to your Lodge-ical activities.

You will see your employees as row headers. All employees will be sorted by the last name and displayed in column 1. Calendar dates are displayed as column headers. A time bar visually indicates an employee is a schedule for a particular day. The time bar includes the guest name and the number of people participating in the activity.

You can also sort your employees by priority code. The employee entry form (select Employees from the Employees menu) allows you to set a numeric priority code to each employee. This determines how they will be shown on the calendar if you check the box labeled “Sort By Priority Code”.

If you can not read the entire contents of the time bar, simply “click” your mouse on the particular time bar and you will see the information appear at the bottom of the calendar.

A time bar that is shaded in red indicates the guest requested the employee. When you assign employees to activities, you can designate the employee was requested.

Horse Calendar

Choose Horse Calendar from the Calendars menu. This calendar is documented in the Horse Assignment module of the documentation.

Room Calendar

Choose Room Calendar from the Calendars menu. This calendar is documented in the Room Assignment module of the documentation.

Resources Assigned

Choose Resources Assigned from the Calendars menu. This calendar will be relevant only if you use the activity planner and assign resources to an activity. Resources are set up via the Maintenance/Resources form.

You will see your resources as row headers. All resources will be alphabetical by name and displayed in column 1. For each resource, you will see an AM and PM designation. This relates to the activity time of the day. Calendar dates are displayed as column headers. A time bar visually indicates a total number of resources scheduled for the particular morning or afternoon.

Resources Available

Choose Resources Available from the Calendars menu. This calendar will be identical to the calendar above except that it will show you the number of resources you have available for assignment.
